What it does

Built for field-service and home-care teams who book the same staff again and again — repeat visits, cleaning, pest control, deliveries and fleet maintenance.

Month, week and day views with drag-to-reschedule and colour-coded staff. A live booking-density heat map shows where the week is tight before you commit anyone — and status badges stay current with a silent five-minute refresh.

Booking wizard

A guided what / when / who / confirm flow. One-off or recurring — daily, weekly or monthly, ending on a date or after a set number of visits. Ideal for scheduled property maintenance.

Conflict detection & reassign

Overlapping assignments are flagged before you create them. Resolve a double-booking by reassigning to another available team member in a couple of clicks.

AI scheduling assistant (experimental)

Ask in plain English to find the right available person — it matches on trade and skill across a mixed team (electrical vs plumbing) and works around each person's hours and leave. Fill the wizard or tidy the roster. Bring your own key — Claude, OpenAI, OpenRouter, or a local Ollama model.

Staff availability & skills

Set working hours, leave and per-person trades, skills, territories and teams. These drive the assistant's suggestions and the roster's clash warnings — so an electrical job lands with an electrician who's actually free.

Your first 15 minutes

Booking Manager installs straight into ServiceM8 — nothing to host, no separate login. Here's the order we'd set up a small trade team (say, a mix of electricians and plumbers) so the roster, matching and reminders all work from day one.

Get the team in

Only the business owner can open the add-on at first — everyone else needs access granted.

  • The owner opens Booking Manager once (they get full access automatically), then grants the coordinator full access and sets each technician to read-only or none.

  • Hide placeholder, admin or system accounts so only your real technicians show on the roster and in the booking wizard.

Make matching meaningful

Tagging trades and hours powers the assistant's suggestions and the roster's clash warnings.

  • Tag each person's trade — electrician, plumber — as a job type or a skill (the app treats Electrician and Electrical as the same). On an established account, use Suggest job-types from history.

  • Set a default working-week once and apply it to everyone, then adjust the owner's on-the-tools hours and enter any known leave.

Run the day, plan the week

Day-to-day coordination and forward planning both live on the roster.

  • Start on the Today dashboard, work through the unscheduled backlog, and create your first booking with the wizard — choose what, when and who, then confirm.
  • Switch to Week or Month for forward planning, and set recurring bookings for scheduled maintenance. Resolve any clashes in the conflicts panel.

Bring your own AI key when you're ready — start read-only, then loosen the reins.

  • Turn the assistant on for read-only triage first — finding available staff and surfacing the unscheduled backlog. Write actions stay off until you enable them.

  • Once you trust it, switch on individual actions (create a booking, reschedule, add a note) — you still approve each one before it runs.
  • Please note — the AI assistant feature is experimental and you are required to provide your own API key. The feature supports Anthropic (Claude), OpenAI (ChatGPT) and compatible AI models, and OpenRouter.

If you run a ServiceM8 team and schedule the same people again and again, yes. It's built for trades (electrical, plumbing and mixed teams), home care, cleaning, pest control, deliveries and fleet maintenance — anywhere you're juggling who goes where, repeat visits and regular maintenance.

No. Booking Manager works through ServiceM8's own system — the bookings you make are normal ServiceM8 bookings. It doesn't delete or rewrite your jobs, customers or history; it just gives you a better way to see and schedule them. Nothing happens to your data that you didn't ask for.

Yes. Every booking is written straight into ServiceM8, so it appears on the normal schedule and in each technician's ServiceM8 app — not just inside Booking Manager. Your team keeps working exactly the way they already do.

Only the ones you already use. Because bookings are real ServiceM8 bookings, your existing booking reminders still go out as normal — so if you're scheduling a big batch at once, pause them first to avoid a flood, then switch them back on. Booking Manager doesn't add any new messages of its own.

Your whole team, with the access you choose. When you first open it, only the business owner is in. From Settings → Staff → Access you give each person full, read-only or no access — typically full for whoever runs the schedule and read-only or none for techs who just work from their ServiceM8 app. If someone's missing from the list entirely, they may be hidden under Appearance.

You tell it once. Tag each person's trade and skills and set their working hours and leave (Settings → Staff). Then the assistant suggests the right trade who's actually free — an electrical job goes to your electricians, not the plumbers — and the roster flags clashes. You always make the final call: it guides the choice rather than locking anyone out.

Yes. The booking wizard does one-off or recurring visits — daily, weekly or monthly, ending on a date or after a set number of visits — which is ideal for service contracts and property maintenance. For real-estate work, add the property manager as a contact on the job alongside the tenant so everyone's on the record.

The AI assistant feature is experimental and optional. Experimental means we don't gaurantee its performance. You bring your own API key so you're in control of the cost. Your key is stored securely and never shown back in the browser, and the assistant can't change anything until you switch on each action — it only suggests until you say so. Prefer not to use AI? Everything else in Booking Manager works fully without it.

Yes — once you record it in Booking Manager. ServiceM8 doesn't currently open its native leave feature to add-ons, so leave is entered directly in Booking Manager under Settings → Staff → Leave. Add someone's leave there and both the booking wizard and the AI assistant will account for it, keeping that person out of availability suggestions for those dates. If ServiceM8 opens up its native leave in future, we'll update Booking Manager to work with it.
